Procurement Coordinator

sycnreon part of DP World are recruiting for a Category Procurement Coordinator - Consumables to be based from our Hinckley offices working with hybrid flexible working available. The role will be a fast paced administrative position predominantly focussing around the provision of support for the Procurement Specialists, Leads and Managers. This will involve aspects of sourcing on the internet to find suppliers, dealing with invoice queries from suppliers, reconciling deliveries, processing PODs and reports. You will need excellent communication and strong IT skills including Excel (v-look ups/pivots).

 

About the role:

  • Utilize computer and computer software system SAP/Oracle, set up functions, enter data and process information.
  • Handle administrative tasks for the Category Procurement Lead Consumables.
  • Track costs and monitor plant spending by using SAP reports and functions.
  • Accurately assign expenses within the financial/accounting structure.
  • Work with plant manager and plant accountant to ensure plant budget compliance.
  • Monitor purchasing process to assure expenses are reported in the correct time/period.
  • Act as gatekeeper for purchasing policy and procedure.
  • Gatekeep that all PO’s are within the framework of purchasing contracts.
  • Interact with various departments to provide information and resolve outstanding issues.
  • File purchasing material and maintain purchasing folders with updated forms and procedures. 
  • Monitor and update Contracts (End dates – Renewals) in Risk Management database.
  • Accurately create SAP Master Data Requests for New Vendors, Materials and Purchase Information Records as required.
  • Monitor and record Credit notes to be received (Procurement).
  • Driving reports for Vendor payment terms and Vendor reductions in SAP.
  • Control and maintain Vendor Database.
  • End of Month reporting PO, GRIR, GL Accounts – reporting into Finance.
  • Maintain timely and accurate knowledge of the Consumables category and procurement landscape and maintain accurate up-to-date cost records and analysis of trends.
  • Manage the contracts on an operational level for the consumables category or region.
  • Generate and maintain accurate records according to established procedures for quotes, cost estimates, items, tooling, purchase orders, supplier performance, and commodity spend analysis, etc.   

 

Key Skills and Qualifications:

  • 2+ years of operational procurement administration experience or relevant fast paced administrative support
  • Experience in the consumables (sub)category and/or procurement.
  • Experience in supporting local & regional tendering processes
  • Ability to work under pressure in a dynamic and demanding environment.
  • Fluent in the English language on a business level
  • Eager to develop negotiating and analytical skills
  • Planning, prioritisation and organisation skills.
  • Professional and flexible approach to work and to managing internal customer needs in a changing business environment setting clear expectations.
  • Strong Knowledge of business systems with SAP/Oracle system highly desireable
  • Basic knowledge of accounting, materials and purchasing.
  • Strong computer literacy including intermediate Excel to include vlook ups/pivot tables as a minimum requirement
