Administrator

Are you a strong Administrator and have the skills to effectively prioritise and manage varied tasks. We are currently recruiting a Facilities Administrator based primarily at our Hinckley site to support the coordination and management of our facilities and maintenance requirements. This role will also support other Technology UK sites and involves assisting in coordinating the Facilities Team's administration and documentation to ensure completeness and compliance per local laws, guidance and legislation so travel between our Lutterworth, Hinckley and Coventry locations will be required on occasion. 

 

About the Role 
How you will contribute

  • Responsible for daily administration of repairs and maintenance requirements across sites
  • Coordinating repairs and facilities maintenance requirements with internal and external contractors
  • Utilise computerS to update records on company systems including Systems updates for Engineering, Facilities, Maintenance and other related equipment or activities supported by QPulse
  • Ensure updates are entered into the MMS in a timely manner to provide performance management
  • Interact with various departments / external companies via telephone, email or in person to provide information and resolve issues when possible or ensure escalation to correct department or level for solutions
  • Support cost savings through continuous improvement
  • Perform administrative activities, including:
    • End dates of service contracts & advise of renewals dates
    • Internal audits to ensure compliance
    • Budget & Expenditure Tracker for the Facilities & Maintenance and Engineering Team
  • Support with procurement/purchase requisitioning activities within the UK Engineering and Facilities Team
  • Maintenance and analysis of database up to date with timely, accurate, and detailed information across UK e.g. Task completion, overdue, hours with contractors, travel time
  • Liaise and work closely in conjunction with teams from other UK sites. 
  • Ensure UK Engineering Team’s (Engineering, Maintenance, and Facilities) administration and documentation managed effectively to ensure completeness and compliance per local laws, guidance, and legislation

 

Your Key Qualifications

  • Strong office administration skills including complete knowledge of Microsoft Office and competency in Excel
  • Strong organisational and prioritisation skills
  • High level of accuracy and ability to work in fast paced environments
  • Meet deadlines consistently
  • Professional, accurate & precise, ability to manage multiple tasks.

 

Additional Information

  • A valid driving license and use of a vehicle is required as travel between sites will be required
