Bid Management Specialist

About the Role

How you will contribute: 

  • Manage the bid through the process using quote logs, communicate and escalate RFQ response delays with key stakeholders in a timely manner.
  • Responsible for maintaining a RFI database and assisting Sales with questions regarding RFI.
  • Ensure key meetings are scheduled as required and all aspects of the solution proposal is addressed professionally and efficiently.
  • Act as delegate attending Engagement, Kick Off, and Bid Approval meetings to capture key issues and meeting minutes using Salesforce.com to ensure all stakeholders are informed.
  • Provide timeline for bid during the Engagement and Kick Off using the RFQ Timeline Planner.
  • Support Account Management to deliver high quality RFI/RFQ response documents & presentations to prospective new customers by providing and reviewing proposal documents.
  • Support the creation and building of core libraries to maintain generic sales material, functional overviews & vertical/solution specific material.
  • Drive Salesforce accuracy in completion and updates to the opportunity record and appropriate system approvals.
  • Strive to drive faster adoption to changes to increase benefit realization and the achievement of results and outcomes.
  • Manage relationships across with all levels, business segments and multiple functional areas.
  • Work independently and handle, track & prioritize multiple RFQ response assignments concurrently.
  • Other duties as assigned and with experience will become responsible for portions of the process.

 Key Qualifications

  • Bachelor’s Degree preferred or equal industry experience.
  • Experience in managing and coordinating solutions, business changes &/or customer projects.
  • Excellent knowledge of Microsoft Excel, Word, PowerPoint and SharePoint.
  • Experience with Salesforce is preferred
  • Knowledgeable with the fundamentals of project management (resource allocations, time constraints, predecessor and successor activities, key milestones and ultimate deliverables).
  • History of accountability and ownership of project deliverables in a dynamic environment.
  • Attention to detail in terms of customer facing documents.
  • Experienced in handling challenging customers and their specific requirements.
  • Proven skills in facilitating productive meetings.
  • Proven adaptability and flexibility in the face of change in the workplace.
  • Maintains respectful, positive & good-natured attitude which fosters co-operation across the organization at all levels.
